GearFlow ("we", "the service") is management software for the rental and warehousing of audio/video/lighting equipment, operated by GearFlow (Ticino, Switzerland). This policy explains what data we collect, how we use it, and who we share it with, when you use our website or application.

Data we collect

When you register or use GearFlow, we collect:

• Account data: username, email address, password (stored encrypted, never in plain text).
• Company data: business name, address, phone, contact email and, if you enter them, VAT number and SDI code.
• Usage data: the information you enter in the app (materials, bookings, production lists) — visible only to your team.
• Payment data: if you subscribe to a paid plan, card data is handled directly by Stripe — GearFlow never sees or stores it.
• Technical cookies: a session cookie required to keep you logged in; we do not use advertising or profiling cookies.

How we use your data

• To provide you the service (login, warehouse management, notifications related to your activity).
• For essential communications related to your account or subscription (e.g. payment notices).
• For support, if you contact us.

We do not sell or share your data with third parties for advertising purposes.

Third-party services we use

• Stripe — payment processing and billing.
• Brevo — sending transactional emails (notifications, alerts).
• Hetzner — server hosting, within the European Union.

Each of these providers processes data according to its own privacy policy, to the extent necessary to provide their respective service.

Data retention

We keep your data for as long as your account remains active. If you close your account, you can request its deletion by writing to us.

Your rights

You may request access, correction, or deletion of your personal data at any time, by writing to info@gearflow.ch.
